Spidex Express (Pty) Ltd (“Spidex”, “we”, “us” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, store and share personal information when you visit www.spidex-express.com (the “Website”), request a quote, or otherwise contact us. We process personal information in accordance with the Protection of Personal Information Act 4 of 2013 (“POPIA”) and other applicable law. If you do not agree with this Policy, please do not use the Website or send us personal information.
1. Who we are

2. Personal information we collect
Information you give us: name, job title and company name; email address, telephone or WhatsApp number; enquiry details such as origin, destination, cargo type, volume, and any other information you include in a quote request or email; files or documents you attach. Information collected automatically: IP address, browser type, device type, and general location derived from IP; pages viewed, referring URL, and date and time of visit; cookies and similar technologies. Information from others: if you are a customer, partner or consignee, we may receive shipment-related personal information from the shipper, a freight partner, a platform, or a customs authority, solely to perform the logistics service. We do not knowingly collect personal information from children under 18.
3. How we use personal information
We use personal information to respond to enquiries and prepare quotations; communicate about services, rates, operations and account matters; operate, secure and improve the Website; perform logistics services including clearance, transport, delivery, exception handling and tracking; comply with customs, tax, sanctions and record-keeping duties; establish, exercise or defend legal claims; and send service-related notices. We will not send marketing emails unless you have agreed, and you may opt out at any time. We do not sell personal information.
4. Legal basis (POPIA)
We process personal information where it is necessary to take steps at your request before a contract, or to perform a contract; where it is necessary to comply with a legal obligation; where it is necessary to protect a legitimate interest of yours or of Spidex, such as Website security, fraud prevention and operating our business; or where you have consented, if consent is required. You may withdraw consent at any time, without affecting processing that was lawful before withdrawal.
5. Sharing
We share personal information only as needed with Website and IT providers, including our site host and email or cloud providers; operations partners such as carriers, warehouses, linehaul providers, customs brokers and last-mile contractors; professional advisers, including lawyers, accountants and insurers; and authorities, including SARS, customs, the Information Regulator and courts, where the law requires or permits disclosure. Anyone who processes personal information for us is expected to do so under appropriate confidentiality and security arrangements.
6. Cross-border transfers
We work with international customers and service providers. Personal information may be stored or accessed outside South Africa, for example by our Website host or when coordinating an international shipment. Where we transfer personal information outside South Africa, we take reasonable steps to ensure an adequate level of protection, in line with POPIA section 72.
7. Retention and security
We keep personal information only for as long as needed for the purpose collected, and thereafter as required for legal, tax, customs or dispute purposes. Enquiry records are typically kept for up to 24 months if no contract follows, unless a longer period is required. We use reasonable technical and organisational measures to protect personal information. No internet transmission or storage system is completely secure. Please do not send highly sensitive documents through unencrypted email unless we have agreed another channel.
8. Cookies
The Website may use cookies that are necessary to load and secure the site, and analytics cookies to understand how the site is used. You can block or delete cookies in your browser. If you do, some parts of the Website may not work as intended.
9. Your rights
Subject to POPIA, you may request to access the personal information we hold about you; correct or update inaccurate information; delete or destroy information we are not required to keep; object to or restrict certain processing; and withdraw consent where processing is based on consent.
